Kitlogi (“Kitlogi,” “we,” “us,” or “our”) provides inventory and case-readiness software for medical device sales representatives and the offices and warehouses they serve (the “Service”). This Privacy Policy explains what information we collect through our website at kitlogi.com and through the Kitlogi applications at office.kitlogi.com and rep.kitlogi.com, how we use it, and the choices you have.
By using our website or the Service, you agree to the practices described here. If you do not agree, please do not use the Service.
1. We do not collect patient health information
Kitlogi is built to be PHI-free by design. The Service is designed to track devices, kits, and cases — not patients. We do not ask for, and our product is not designed to store, patient names, medical record numbers, diagnoses, or other individually identifiable patient health information. If you believe patient information has been entered into the Service in error, contact us immediately at contact@kitlogi.com so we can help you remove it.
2. Information we collect
We collect information in three ways: what you give us directly, what we collect automatically, and what we receive from third parties who help us run the Service.
| Category | Examples |
|---|---|
| Account & contact information | Name, work email, phone number, company name, job role, team size |
| Form submissions | Information you submit through our Start free, contact, or support forms |
| Business & inventory data | Kit and device records, UDI/lot/serial/expiration data, case assignments, messages between rep and office, approval and flag history |
| Usage data | Pages visited, features used, device/browser type, general location (city-level), timestamps |
| Support communications | Anything you send us via email or the support form |
We do not knowingly collect Social Security numbers, government ID numbers, or patient health information through the Service.
3. How we use information
- To provide, operate, and maintain the Service, including syncing kit, case, and messaging data between reps and offices on the same team
- To respond to sales inquiries, support requests, and account setup
- To send service-related communications, such as account notices, security alerts, and updates you request
- To monitor, secure, and improve the Service, including diagnosing technical issues
- To understand how our website is used so we can improve it
- To comply with legal obligations
We do not sell your personal information, and we do not use your business or inventory data to train third-party AI models.
4. How we share information
We share information only in the following circumstances:
- Within your team. Kit, case, and message data is visible to members of your own company workspace based on their role. We do not share your company’s data with other Kitlogi customers.
- With service providers. We use trusted vendors to host, secure, and operate the Service (see Section 5). They may only use your information to provide services to us.
- For legal reasons. If required by law, subpoena, or to protect the rights, property, or safety of Kitlogi, our users, or others.
- Business transfers. If Kitlogi is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this policy.
5. Third-party service providers
We rely on the following categories of infrastructure providers to operate Kitlogi. Each processes data under its own security and privacy commitments.
| Provider type | Purpose |
|---|---|
| Database & authentication (Supabase) | Stores account and application data; manages sign-in |
| Website & app hosting (Vercel) | Serves our website and application |
| Domain & DNS (GoDaddy) | Domain registration and routing |
| Analytics (Plausible) | Cookieless website traffic analytics |
| Email delivery | Delivers transactional and support email |
| Form relay (FormSubmit) | Relays website form submissions to our support inbox |
6. Cookies and analytics
Our marketing website uses Plausible Analytics, a privacy-focused analytics tool, to understand aggregate traffic such as page views and referral sources. Plausible does not use cookies and does not collect or store any personal information or cross-site identifiers, so no cookie consent banner is required for this website. The applications at office.kitlogi.com and rep.kitlogi.com may use functional cookies to keep you signed in; these are essential to the Service and are not used for advertising or tracking across other sites.
7. Data retention
We retain account and business data for as long as your account is active or as needed to provide the Service. If you close your account, we will delete or anonymize your data within a reasonable period, unless we are required to retain it longer for legal, security, or legitimate business purposes.
8. Security
We use industry-standard safeguards to protect information, including encryption in transit, role-based access controls, and company-scoped data isolation so teams can only see their own workspace. No system is perfectly secure, and we cannot guarantee absolute security.
9. Your rights and choices
Depending on your location, you may have the right to request access to, correction of, or deletion of your personal information, or to object to certain processing. To exercise these rights, contact us at contact@kitlogi.com. We will respond within a reasonable timeframe and in accordance with applicable law.
If you are a California resident, you may have additional rights under the CCPA/CPRA, including the right to know what personal information we collect and the right to opt out of the sale or sharing of personal information. We do not sell personal information.
10. Children’s privacy
Kitlogi is a business tool intended for use by adults in a professional capacity. We do not knowingly collect information from children under 16.
11. International data
Kitlogi is operated from the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States, which may have different data protection laws than your jurisdiction.
12. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version here with a new effective date. Material changes will be communicated to active customers by email where practical.
